Rubrix terms of service
These terms are an agreement between the clinic that uses Rubrix (and the person who signs up for it) and PickleBook, a sole proprietorship of Suraj Bansode in India. By using Rubrix the clinic agrees to them and to the Rubrix privacy notice. The data-processing agreement each clinic signs with us sits alongside these terms; where the two differ about patient data, the data-processing agreement applies.
1. What Rubrix is, and is not
Rubrix is clinic-management software for homeopathic clinics (patients, cases, visits, prescriptions, follow-ups, billing and stock) with a searchable reference of public-domain homeopathic texts such as Kent’s Repertory. It does not diagnose, does not select or recommend a remedy, and is not for emergency or critical care. Repertory totals are the arithmetic of the rubrics the doctor chose; AI helpers only suggest. The registered homoeopathic practitioner makes every clinical decision and is responsible for it.
2. Who may use it
- Clinics of homoeopathic practitioners registered on the Central or a State Register of Homoeopathy, and their staff. Each doctor who prescribes must hold a valid registration and enter their correct registration number in Rubrix; a prescription cannot be finalized without it.
- Everyone with a login must be 18 or older. The person who signs up must be able to enter into contracts for the clinic.
- Each person uses their own login and keeps it private. The clinic decides who gets a login and what role it has, and is responsible for what happens under its logins. Tell us straight away at picklebook.hq@gmail.com if you think someone else has got in.
3. Plans and payment
- Prices and what each plan includes are on the pricing page. A new clinic starts with a free trial and no card is needed.
- PickleBook is not currently registered for GST, so no GST is charged on Rubrix plans. This is our own tax position; it says nothing about how GST applies to the clinic's charges to its patients. If our position changes, we will tell you before it affects a payment.
- We will tell you at least 30 days before a price change applies to your next renewal.
- If we cannot provide the service you have paid for, we refund the unused part.
4. The clinic’s responsibilities
The clinic is the data fiduciary for its patients’ data and the professional responsible for their care. In particular, it:
- tells its patients how their information is used and has a lawful reason, such as their consent, to record it;
- has a patient’s consent before the clinic starts WhatsApp or other messages to them, and records it;
- follows the National Commission for Homoeopathy’s rules on prescriptions and records, and keeps records for as long as they apply;
- dispenses medicines only to its own doctors’ patients, as the Schedule K exemption requires, and not as an open shop;
- makes no claim in messages, diet sheets or templates that a medicine cures or prevents a disease listed under the Drugs and Magic Remedies Act, 1954 or Schedule J of the Drugs Rules, 1945;
- checks everything Rubrix prints or prepares, including AI suggestions and repertory results, before relying on it.
5. What we do with the clinic’s data
- The clinic’s records are the clinic’s. We process them only to provide Rubrix, on the clinic’s instructions, as its data processor.
- We keep them confidential and secure, and use only the service providers named in the privacy notice.
- We tell the clinic without delay if a breach affects its data, and help it answer its patients’ requests.
- The clinic’s owner can export the clinic’s data. When the clinic leaves, we return or delete its data as the data-processing agreement says.
6. AI features
The AI helpers are optional. Patient identifiers are removed before text is sent to the AI model, as the privacy notice explains. AI output can be wrong or incomplete. It is a suggestion for the doctor to check; it is never medical advice and never a prescription.
7. Reference texts
Repertory and materia medica texts are transcribed from public-domain books, with the page they come from. Transcription errors are possible; when it matters, check the original page. Tell us about any error and we will correct it.
8. Acceptable use
Do not use Rubrix to:
- store data you have no right to hold, or anything illegal;
- send messages people did not agree to, or advertise in ways the law or NCH rules forbid;
- try to access another clinic’s data, break our security, or overload the service;
- resell the service without our written permission.
9. Availability
We work to keep Rubrix running and the clinic’s data safe, but cannot promise it will never be interrupted. Keep a way to see patients if it is briefly unavailable. We will tell you in advance about planned maintenance when we can.
10. Liability
Clinical decisions are the doctor’s, and PickleBook is not liable for them. To the extent the law allows, PickleBook is not liable for indirect or consequential losses, and our total liability for any claim is limited to the fees the clinic paid us in the 12 months before it arose. Nothing here limits a liability that Indian law does not allow to be limited.
11. Ending the agreement
The clinic can stop using Rubrix at any time by writing to picklebook.hq@gmail.com; its data stays available for export as section 5 says. We may suspend or close an account that breaks these terms, after warning the clinic where that is reasonable.
12. Changes to these terms
We may update these terms. If a change matters, we will tell clinics by email or in Rubrix before it applies; continuing to use Rubrix after that means the clinic accepts it.
13. Law and disputes
These terms are governed by the laws of India. We will try to resolve any dispute by talking first; if that fails, the courts at Pune, Maharashtra have exclusive jurisdiction.
